Why Use Multi-User Functionality with Host Tools?

Multi-user management can help you manage properties more easily in several ways. First, it seamlessly allows cleaners, assistants, co-hosts, and property managers to log in and answer their own questions, make time-sensitive adjustments, and supply an overall improved guest experience.

Secondly, multi-user functionality allows multiple people to work on the same listing simultaneously. Ultimately, multi-user functionality makes it easier to manage your short-term rental business and get things done efficiently and effectively.

What Types of User Roles Can I Assign?

Different people require access to different elements of your listing. As a result, we’ve created three separate page roles to help them find information pertinent to their unique role and avoid confusion in your account.

Assistant

If you have a virtual assistant, co-host, or property manager, the Assistant user role allows them access to everything they need to effectively manage your property. Our Assistant role allows users to view and respond to guest messages, edit nightly pricing, and set calendar availability.

Additionally, the Assistant role allows the user to edit the listing settings and groups, as well as manage reservations. The Assistant can not edit your accounts, billing or users page nor see the API key.

Owner

The Owner role is a good option for people who like to keep an eye on their property but are not involved in the day-to-day management or decision making. The Owner role allows the user access to view the listing’s pricing but not make changes.

Plus, the Owner has access to viewing a guest’s reservation details like pay-in and pay-out but cannot make changes. The Owner is unable to access the day-to-day management features for viewing or management that the Assistant role can.

Cleaners

The Cleaner user role provides only the essential information to your cleaning crew about the reservation. They will have access to the guest’s name, the number of guests, dates, any notes that ave been added, and preferred language.

They will not have access to any of the other previously discussed user features. The Cleaner role is a great option to let your cleaning crew double-check their schedules and make sure everything is in order.

How to Add a User to Your Host Tools Account

Adding a user to your Host Tools account is easy! Click on your profile picture in the upper right-hand corner and select “Users” from the drop-down menu. Then, fill out the information for the user and choose their role and what listing groups they can access. That’s it!

How to Change or Remove a User

Has someone taken on more responsibility at your property? You can easily upgrade their user access level. All you need to do is select “Edit” next to the user name and choose what their new role is.
